Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support, managing office tasks, and enhancing overall efficiency. This position requires strong communication skills, proficiency in various software applications, and a commitment to delivering exceptional customer service.

Responsibilities

Manage day-to-day office operations, ensuring a well-organized and efficient work environment.
Serve as the first point of contact for clients and visitors, demonstrating excellent phone etiquette and customer service skills.
Assist with clerical tasks, including data entry, filing, and maintaining accurate records.
Utilize Quickbooks Online for basic accounting tasks such as invoicing and expense tracking.
Assist with monitoring, collecting and resolving accounts receivable aging items.
Previous experience with Certified Payroll
Assist in the processing of daily cash receipts, as necessary.
Collaborate with team members to streamline processes and improve office management practices.
Other projects, as assigned.

Experience

Proven experience in an administrative role or similar position is preferred.
Familiarity with QuickBooks, or similar accounting software is required (2 years minimum).
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) (2 years minimum)..
Previous experience in customer service or office management is highly desirable.
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Strong attention to detail and commitment to producing high-quality work.
Ability to maintain confidentiality and handle sensitive information appropriately.
Bilingual (Spanish) preferred
