Responsibilities:

Provide full administrative support, including answering phones, typing reports, filing, and distributing correspondence.
Schedule and coordinate meetings and special events.
Assist with lease administration, including tenant communication and insurance tracking; generate related reports.
Prepare and coordinate bid proposals, service contracts, and invoices.
Support the bidding process and ensure compliance with company policies and procedures.
Manage office supplies and maintain inventory.
Enter contract and certificate of insurance details into administration software and track expirations.
Monitor property maintenance work orders and generate monthly status reports.
Maintain and update the property purchase order system.
Organize and file lease, contract, and other important documents.
Foster positive tenant and client relationships; respond to service calls and inquiries.
Assist with monthly and quarterly management reports and annual budgeting.
Process maintenance staff hours, tenant bill-backs, expense reports, utility meter readings, and check requests.

Requirements:

High school diploma or GED required
Bachelor’s degree preferred
Customer service experience preferred
Proficient in Microsoft Office Suite
Strong communication skills (oral and written)
High level of organization and multitasking ability
Excellent interpersonal skills and a customer-focused attitude
Initiative and the ability to work independently and collaboratively
Ability to maintain confidentiality and interact professionally with decision makers
