Position Summary

We are seeking a positive and proactive Administrative Coordinator to provide administrative support to our management team. This role is essential in ensuring administrative time is optimized, priorities are aligned, and day-to-day operations run smoothly. This ideal candidate thrives in a fast-paced environment, exercises discretion, and demonstrates strong attention to detail.

Key Responsibilities

Executive & Calendar Support

Assist in coordinating daily calendars for executives, including scheduling meetings, appointments, events, and travel.
Coordinate logistics for meetings (in-person and virtual), including room and tech setup, prepared agendas, and follow-up tasks.
Work together with external travel partners to arrange domestic and international itineraries.

Administrative Operations

Handle daily office functions including answering phones, managing correspondence, and supporting informal projects.
Prepare, print and deliver high-quality reports, presentations, and other materials.
Manage sensitive and confidential information with professionalism and discretion.
Anticipate executives’ needs, streamline scheduling, and ensure alignment with key organizational priorities.
Proactively manage competing priorities to maximize productivity and support strategic goals.

Qualifications

Education:

Bachelor’s degree in business administration, Communications, or a related field preferred.
Equivalent work experience will be considered.

Skills & Attributes:

Excellent organizational and time-management skills; able to self-direct and multitask.
Strong verbal and written communication skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and scheduling platforms (e.g., Google Calendar, Calendly).
Detail-oriented with a proactive mindset and ability to anticipate needs.

Work Environment & Schedule

Hybrid work model: 2–3 days on-site in Alexandria, VA and 1–2 remote days per week.
Occasional weekend availability required depending on project needs.
