The Administrative Assistant works under the leadership of the Office Manager to keep all parts of the office organized and running according to plan. This is a support position with a wide variety of responsibilities that support our leaders to get our customers’ projects completed safely, accurately and at the highest quality.

Key Job Responsibilities

Provides administrative support to ensure efficient operation of office.
Answers phone calls, schedules meetings, trainings, and supports visitors.
Carries out administrative duties such as filing (physically & electronically), typing, copying, binding, scanning etc.
Prepare communications, such as memos, emails, invoices, reports and other correspondence.
Facilitate Office Manager in managing accounts and perform entry level bookkeeping duties.
Develop, distribute, track all correspondence related to the project documents. Enter applicable information into project management software.
Review and processes documentation for project commitments (i.e. Work Authorizations, Purchase Orders etc.).
Work with Office Manager and team to ensure all compliance documents are received and processed.
Work with project team to ensure initial compliance documents are obtained prior to first day onsite (i.e. schedule updates; badging access, training etc.)

Job Type: Full-time

Pay: $27.00 - $30.00 per hour

Expected hours: 40 per week

High school or equivalent (Preferred)

Experience:

Administrative Assistant: 1 year (Preferred)
