This position will provide administrative, analytical, and project management support for the SQFI technical team, specifically the training team.
Essential Job Functions:___________________________________________________________________
- Monitor, vet, and respond to all incoming training-related emails, including routine requests from training centers (TCs) and sites regarding SQF training courses.
- Update and distribute SQF training course materials, invoices, and information to attendees and relevant SQFI staff.
- Schedule and post courses on the SQFI website; track and communicate training registration numbers.
- Utilize software such as Excel to identify, interpret, and predict patterns and trends in training data.
- Assist with the implementation of technical strategies and solutions.
- Prepare analytical reports and collaborate with other SQFI staff to identify solutions and opportunities for growth.
- Coordinate relevant course/curriculum details with marketing and administrative teams for posting to the SQFI website including monitoring course registrations, identifying and scheduling instructors, addressing participants queries, executing changes, and updating course data as needed.
- Provide strategic logistical support to training courses which may include activities such as: participant scheduling, communications and tracking, training delivery platform logistics, and materials oversite.
- Support, connect, and respond to questions from the SQFI global training center community and other global stakeholders.
- Use Adobe Connect to produce webinars and virtual learning events and manage virtual platform technologies for positive participant experience.
- Serve as a customer service representative for the SQF Technical team, answer and screen incoming technical questions through calls or emails.

- Other projects as assigned or directed as it pertains to the SQF Compliance and Training programs.
- Assist with the planning of the annual conference for SQF Unites, as needed.
Physical Requirements:___________________________________________________________________
- Normal office environment requiring the use of typical business equipment (e.g., computer, telephone, copier, etc.).
- Ability to travel (locally and out of town) to events and conferences as needed.
- Ability to pack and unpack conference materials (up to at least 50 lbs.).
- The person in this position will be eligible to work a hybrid work schedule Monday through Thursday requiring a minimum of two days in the office per week during that four-day period. Every Friday will be a remote workday (unless business needs require the person to be in the office). This person will also be required to be in the office for a minimum of three days per quarter for all-staff “In-Service” days.
Education, Skills, and Experience:________________________________________________________
- A minimum of one to two years of prior professional work experience in a similar role or related field.
- College degree.
- Clear understanding and ability to process and maintain information through database software.
- Previous training background is a plus.
- Previous technical and training experience working with a remote global team is a plus.
- Proven and advanced knowledge of Microsoft Office 365 programs including: Excel, Word, PowerPoint and Outlook and Teams.
- Previous experience using training platforms such as Adobe Connect, HubSpot, Matrix Maxx (or other invoicing platform), and Zoom preferred.
- Ability to coordinate and run a virtual training platform to include troubleshooting any issues.
- Strong customer service skills and team orientation.
- Strong writing, editing, proofreading and communication skills.
- Excellent interpersonal skills.
- Critical thinking and analysis skills.
- Must be self-directed with excellent time and project planning and management skills with an ability to organize, prioritize, and accomplish multiple tasks with strict attention to detail and with minimal supervision.
- Excellent follow-up skills.
- Ability to work well with various colleagues across the organization as well as external vendors.
- Personal qualities must include drive, determination, flexibility, open-mindedness, and must be a team player.
- Written and spoken understanding of languages, particularly Spanish, Chinese, Japanese, and/or Portuguese is a plus.
