Job Summary: The Operations Assistant (OA) will play a crucial role in organizing/expanding the brand by streamlining processes, structuring systems, managing internal documents, and accurately measuring spaces to assess their condition for clients. This highly organized individual will coordinate deliveries, oversee a small showroom, assist the sales team by preparing contracts and collecting payments, and ensure efficient workflows. Strong administrative skills, attention to detail, and excellent communication are essential for balancing strategic operations and daily tasks. Position in Fairfax, VA.
Key Responsibilities:
Operational / Administrative Support:
- Create and update the Operations Manual and Standard Operating Procedures to help streamline our processes, structure our internal systems, and organize our workflow.
- Provide administrative support to the sales team, including scheduling meetings, preparing contracts, and handling customer communications.
- Assist with QuickBooks invoicing and ensure that customer payments are tracked and processed.
- Organize and update customer records in the company CRM.
Customer Service and Showroom Management:
- Greet/Assist 1-3 visitors per week, ensuring a professional and welcoming environment.
- Respond to customer inquiries, providing product information and support.
- Manage showroom sample inventory, keeping all products up-to-date and organized.
Order and Delivery Coordination:
- Coordinate deliveries between manufacturers, receivers, and installation team, ensuring timely and accurate shipments. And assist with records of customer orders and order fulfillment.
Field Liaison: Visit job sites to take accurate initial and final measurements for larger projects.
Social Media and Marketing: Engage with IG followers and respond to direct messages and customer inquiries.
General Office Duties: Assist with tasks such as mailing samples, printing, and organizing documents.
Qualifications:
- Strong organizational/multitasking skills and ability to work effectively in a fast-paced environment.
- Excellent communication and customer service abilities.
- Experience with the kitchen cabinetry industry and related products is required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
