Job Title: Front Desk Associate
Reports to: Studio Manager / Owner
Job Summary:
The Front Desk Associate is the first point of contact for clients, members, and visitors. This position requires excellent customer service skills, a positive attitude, and the ability to multitask in a fast-paced environment. The Front Desk Associate is responsible for providing support to both staff and members while maintaining the operational flow of the studio.
Key Responsibilities:
Customer Service & Member Engagement:
Greet members and clients as they arrive with a friendly and welcoming attitude.
Answer phones and respond to emails, addressing questions about classes, schedules, pricing, or general studio inquiries.
Handle new client registration, including assisting with sign-up forms, memberships, and any required information.
Assist clients in scheduling and canceling classes, and keep members informed about class availability.
Offer tours of the studio to potential clients and explain the benefits of membership and class offerings.
Provide information about upcoming promotions, events, or special offers to members and potential clients.
Administrative & Operational Tasks:
Maintain and update member accounts, including processing payments, cancellations, or changes to memberships.
Handle point-of-sale transactions, including the sale of retail products, packages, or memberships.
Assist with scheduling and coordination of Pilates instructors and class schedules.
Keep the front desk area clean and organized, ensuring that it presents a professional appearance at all times.
Manage the studio's online booking system, including class reservations, cancellations, and waitlists.
Studio Maintenance:
Ensure the studio is tidy and that equipment is set up before and after classes.
Monitor the overall cleanliness of the studio, including bathrooms, locker rooms, and the general common areas.
Team Collaboration:
Collaborate with the studio manager and other team members to ensure operational goals and client satisfaction are met.
Provide support for any studio events, promotions, or community outreach efforts.
Other Duties:
Perform any additional tasks as needed to support the smooth operation of the studio.
Qualifications & Skills:
Customer Service Experience: Previous experience in customer-facing roles is a plus.
Communication: Strong verbal and written communication skills to interact effectively with members and staff.
Organizational Skills: Ability to handle multiple tasks and prioritize effectively.
Technology Proficiency: Familiarity with using booking and point-of-sale systems. Experience with Mindbody or similar systems is preferred.
Team-Oriented: Able to work effectively with others in a collaborative, fast-paced environment.
Positive Attitude: Must be friendly, approachable, and customer-focused.
Physical Requirements: Ability to stand for extended periods and help with studio set-up/tear-down when needed.
Preferred Qualifications:
Previous experience in fitness, wellness, or hospitality industries.
Interest or background in Pilates or fitness is a plus.
