We are excited to open a cosmetic Medical/Surgical Assistant position. In search of an exceptional and talented experienced professional. Qualified assistant will be in charge of the day-to-day patient management operations of our very busy oculofacial plastic surgery and aesthetics (injectables and aesthetic lasers) practice and ensure that we consistently deliver a precise, supportive, and unique experience to our patients. An excellent candidate will have a background in both medical/cosmetic office as well as surgery and will be able to multitask in a high volume environment.
The Medical/Surgical Assistant will be responsible for educating cosmetic patients with relevant and up-to-date information about expectations and process. They will also be in charge of taking before/after photos, numbing for injectables, rooming, scribing, assisting the doctor with consults and price quotes, and injections. They will educate and inform patients about before and after care of injectables, neuromodulators, dermal fillers, and non-invasive procedures offered. They are expected to optimize patient flow to ensure patients are roomed and seen by their provider on a timely basis and ensure consistent delivery of an excellent patient experience.
Responsibilities
- Answering phone lines and screening incoming phone calls in a professional manner and Greeting patients, ensuring that they are comfortable in the waiting area.
- Overseeing the direction and flow of patients to ensure the daily schedule runs efficiently and on time.
- Ensuring patient information is updated and complete in EMR (electronic medical record)
- Taking precise before and after photos, identify excellent results.
- Keeping the areas organized and clean atmosphere.
- Patient post injection care calls to follow up.
- Patient pre-post surgery calls.
- Keeping medical inventory supplies to ensure the practice is properly stocked.
- Stocking exam and procedure rooms.
- Conducts effective and informative patient consultations to determine aesthetic goals, educate patients, and set realistic expectations regarding possible results.
- Implements strategic sales initiatives to maximize revenue and expand customer base.
- Interacts regularly with patients to ensure service/product satisfaction; responds quickly and appropriately to any concerns.
- Scribe notes into EMR for physician.
- Make daily follow up calls to check on patients, post cosmetic procedures.
- Set up for dermal filler injections, reconstitute neurotoxins, draw syringes for neuromodulator injections based on physician recommendation.
- Organize patient flow according to protocol.
- Prepare quotes on services suggested by physician.
- Cross promotion of new services/treatments.
- Call in prescriptions to pharmacies.
- Demonstrate the ability to communicate the surgeon’s preferences and specific patient’s needs to surgical team including but not limited to suture needs, specialty supplies and instrumentation, and equipment.
- Verifies all implants, supplies and special procedure equipment is available and functional.
- Facilitates a cooperative team atmosphere through professional communication.
- Listens actively to surgeon, patient and team to ensure safe patient-centered care.
- Maintains awareness of patient monitoring and responds appropriately to potential complications.
- Demonstrate the ability to apply advanced knowledge of normal and pathological surgical anatomy and physiology.
Skills
- 3-5 years medical assistant experience (2 years minimum within a plastic surgery/medical aesthetics environment).
- Extensive facial anatomy knowledge.
- Completion of a formal medical assistant program with internship is preferred.
- Proven working experience in the cosmetic industry.
- Phlebotomy.
- Excellent time management skills and ability to multitask and prioritize work.
- Social perceptiveness, service oriented, emotional intelligence.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficiency in electronic medical record and patient management software.
- Demonstrates Aseptic Skills.
- Monitors the actions immediately surrounding the sterile field ensuring that the integrity is maintained and/or corrected appropriately.
- Evaluates potential causes of surgical site infections, communicating concerns and possible corrective actions to prevent and/or treat potential contamination.
Excellent customer service skills.
- Fluency in other languages is preferred but not required.
- Flexibility to work some evening and Saturday hours when necessary.
- Proficient in MS Word, Excel, and PowerPoint is a must
- Desire and ability help maintain a pleasant, team oriented atmosphere.
- Must maintain a professional appearance and grooming at all times.
Education:
- Associate's degree required, bachelor's degree preferred.
- Ability to provide 3 professional references.
- CPR-First AID Certification.
- MA certification.
