Secretary I – UAW Washington DC Office

Job Overview

The Secretary I provides high level administrative support for the Washington DC Office to support the CAP & Legislative Departments. This role will act as a liaison with other department staff, UAW staff and affiliates and reports to the Administrative Staff in the Washington DC Office.

The UAW’s Washington Office, is seeking an individual to provide administrative and clerical support to the International Affairs Department and the UAW’s National Community Action Program (CAP). The candidate must be able to perform in a fast-paced working environment. This position requires experience using Microsoft Office (PPT, Word, Excel, Outlook) and other database platforms; foreign language skills are valued but not required. Attention to detail and professionalism are a MUST; understanding of and an interest in politics, international affairs, and social justice is a plus.

Job Description

Provide high level administrative support for a department with strict confidentiality
Answer and direct phone calls for the International Affairs Director and Washington Office staff
Organize and schedule appointments, meetings, and conference calls
File reimbursements and expenses. Book travel for the two departments.
Develop and maintain up-to-date filing systems
Carry out administrative duties such as filing, copying, binding, scanning etc.
Check and distribute daily mail
Respond to emails in a timely manner
Manage and track contribution requests for political and non-profit organizations
Track, update and monitor member-driven fundraising
Assist with logistics regarding international travel and conferences abroad as well as hosting international guests here in the U.S.
Assist in CAP Conference planning logistics
Assist in organizing documents, systems, and processes across the CAP Department
Assist in pulling data from membership and voter databases
Know, interpret, and apply organizational policies, procedures, and protocols
Develop, coordinate, and assess office systems and operations, including but not limited to, recordkeeping, expense reporting, internal and external communications, meetings, travel and expenses and other areas as assigned.
Review and process incoming correspondence and materials, as well as prepare responses as appropriate.
Produce and distribute correspondence, memo’s, letters, and reports
Proofreading, reformatting, and editing of correspondence.
Coordinate office support staff and workflow including resolution of questions and concerns as well as development of ongoing departmental policies and procedures
Retrieve information quickly, utilizing internal and external data resources
Travel may be required (i.e., to attend meetings)
Proofread and format highly visible curriculum and publications utilized by all members of the UAW
Run analytics and create reports
Book travel in accordance with the UAW Travel Policy
Manage staff calendars and facilitate Teams/virtual meetings
Prepare detailed materials using Microsoft Word, PowerPoint, Excel and other office programs
Attention to detail and professionalism

Job Qualifications

Positive attitude with excellent communication and interpersonal skills
Demonstrated ability to prioritize and manage multiple tasks within a high-pressure environment and meet unpredictable deadlines
Commitment to confidentiality and discretion
Demonstrated strong proofreading skills
Proficiency in Microsoft Office Suite (PPT, Word, Excel, Outlook) and other database platforms;
Highly motivated and a self-starter
The candidate must be able to perform in a fast-paced working environment.
Knowledge of basic accounting procedures.
Experience and familiarity with use of database systems.

ADDITIONAL SKILLS DESIRED (Not Required):

Foreign language skills are valued but not required.
An understanding of and an interest in politics, international affairs, and social justice is a plus.
College education is preferred.

Note: This position is a full in-office role which can include occasional travel to support the department as needed. Part of our selection process includes a brief clerical assessment from eSkill, which is sent via e-mail prior to being scheduled for an interview.

Pay: $30.95 per hour
