Facilities Administrator
Job Description:
The Facilities Administrator plays a key role in supporting the day-to-day operations of our HQ, Co|Lab, and The Shed buildings. This is a hands-on role that also includes key administrative responsibilities to ensure facilities operations run smoothly. The Facilities Administrator performs a variety of tasks including event setups, basic building maintenance, inventory management, janitorial coordination, and administrative duties. The ideal candidate is detail-oriented, proactive, and comfortable working both independently and collaboratively. This position reports to and primarily receives direction from the Facilities Manager.
Responsibilities
Facilities Operations and Support

Perform daily walkthroughs of HQ, Co|Lab, and The Shed to identify and report facilities issues.

Set up and break down furniture for meetings and events (tables, chairs, equipment).

Assist with repair needs including light bulb changes, minor handy work, and restroom maintenance.

Maintain clean and safe walkways, loading docks, parking areas, and shared spaces.

Administer inventory of janitorial supplies and materials across all buildings by conducting routine stock checks and coordinating timely replenishment to ensure accuracy and availability.

Assist with office furniture relocation and installation (standing desks, filing cabinets, etc.).

Ensure all building entrances, shared areas, and workspaces are orderly and presentable.

Support emergency response efforts (leaks, power outages, inclement weather).

Assist with occasional hands-on cleaning or exterior upkeep tasks such as power washing, leaf blowing, or window cleaning during special projects or when required.

Ensure that all tool and material transfer tickets are accurately recorded in the inventory tracking system, Tool Watch.

Maintain an organized storage space, ensuring inventory is properly stored, secure, and easy to locate.

Fulfill PPE orders for job sites and regional offices, coordinate packing, shipping, and delivery logistics.

Receive and check all incoming deliveries, ensuring packages are properly logged and routed to the correct team member.

Investigate unidentified deliveries by contacting vendors or senders to determine ownership.

Ensure outgoing packages are picked up by FedEx/UPS and follow up with the appropriate team if not collected.
Fleet Support
At the direction of the Facilities Manager:

Support the Fleet Manager with vehicle-related logistics and coordination.

Transport fleet vehicles to and from maintenance or service shops as requested.

Report any mechanical or cosmetic issues with fleet vehicles directly to the Fleet Manager.
Qualifications

General facilities, janitorial, and/or office maintenance experience highly desired

Strong computer proficiency:

Microsoft Office suite (ex. Excel, Word, Outlook, PowerPoint, etc.)

Valid driver's license and clean Motor Vehicle Record.

Bilingual English/Spanish preferred.

Forklift operator certification within the first 30 days

High school diploma required, and 0-2 years of related work experience.
