Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support our team in various administrative tasks. The ideal candidate will possess strong organizational skills and a customer-focused mindset. This role is essential in supporting the Defense Travel System and provides administrative support for DISA’s financial office.
Responsibilities
- Review travel requests for financial accuracy.
- Prepare severability letters and administrative documentation.
- Assist in assembling and processing financial packages.
- Operate multi-line phone systems, ensuring effective communication with clients and team members.
- Perform data entry, filing, and clerical duties to maintain organized records.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support by addressing client needs and resolving issues promptly.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
- Proofread documents for accuracy and clarity before distribution.
- Support bookkeeping tasks, including managing invoices and expense reports.
- Maintain office supplies inventory and assist with procurement as needed.
- Collaborate with team members on various projects to ensure timely completion of tasks.
Qualifications
- Associate’s degree or higher.
- 2+ years of administrative or financial support experience.
- Familiarity with DTS preferred.
- Active Secret clearance.
- Experience with front desk operations and multi-line phone systems.
- Bilingual abilities are advantageous for enhanced communication.
- Strong office management skills with a focus on organization and efficiency.
- Excellent computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Previous office experience or clerical experience is preferred.
- Exceptional customer service skills with a friendly demeanor.
- Strong administrative experience with attention to detail in all tasks performed.
- Knowledge of phone etiquette to maintain professionalism during calls.
- Capable of effective time management to prioritize tasks efficiently.
- Experience as a dental receptionist or medical receptionist is beneficial but not required.
- Familiarity with typing standards for data entry accuracy.
- Ability to manage calendars effectively for multiple team members.
- Strong organizational skills to keep the office running smoothly.
