The Team

The Administrative Assistant provides essential support to the Executive Assistant and team, facilitating client engagement, department operations, and personnel activities.

How you will contribute

This is a hybrid position requiring 3 days per week in the office.

Responsibilities:

Expense & Time Management: Prepare, reconcile, and submit accurate expense reports and timesheets in a timely manner.
Travel Coordination: Arrange travel logistics, including flights, hotels, car services, and travel documentation management.
Calendar & Meeting Support: Manage executive calendars, schedule meetings/events, and organize conference calls.
Communication & Email Management: Assist with email prioritization, follow-ups, and departmental communication. Go through inbox and prioritize
Subcontractor Administration: Coordinate the setup of subcontractors and monitor their payment processes.
Onboarding & Compliance: Assist with new hire onboarding and track Continuing Professional Education (CPE) requirements.
General Administration: Provide comprehensive office support, including handling sensitive documents, greeting visitors, and answering phones.
Project Assistance: Collaborate on team projects, provide ad hoc support, and execute special assignments as needed.

Qualifications

Bachelor’s degree in a relevant field is preferred but not required.
1–3+ years of administrative experience within professional services, consulting, legal, or corporate environments.
Advanced skills in Microsoft Office (Excel, Word, Outlook, PowerPoint); Concur experience is a plus.
Proven ability to handle sensitive and confidential information with high discretion.
Exceptionally organized with strong attention to detail and consistent follow-through.
Ability to manage multiple priorities, meet deadlines, and keep projects moving efficiently.
Strong written and verbal communication skills for professional interaction.
Proactive and resourceful, taking ownership of tasks, and working independently in a fast-paced environment.
Comfortable collaborating with team members and building professional relationships at all levels.
Eager to learn, open to feedback, and flexible regarding hours based on team needs.

Full-time Positions and Part-time Positions Over 30 hours

Regular employees working 30 or more hours per week are also entitled to participate in Alvarez & Marsal Holdings’ fringe benefits consisting of healthcare plans, flexible spending and savings accounts, life, AD&D, and disability coverages at rates determined periodically as well as a 401(k) retirement savings plan. Provided the eligibility requirements are met, employees will also receive an annual discretionary contribution to their 401(k) retirement savings plan from Alvarez & Marsal. Additionally, employees are eligible for paid time off including vacation, personal days, seventy-two (72) hours of sick time (prorated for part time employees), ten federal holidays, one floating holiday, and parental leave. The amount of vacation and personal days available varies based on tenure and role type.

The salary range is $55,000 - $70,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
