Job Summary
We are seeking an Outreach Coordinator, an entry-level role focused on identifying potential clients, building referral relationships, and promoting organizational services through community outreach. The position is ideal for individuals interested in healthcare marketing, community engagement, or care coordination. The ideal candidate will deliver excellent patient service while handling administrative tasks in a medical office, including scheduling, medical records, and maintaining HIPAA compliance.

Duties

Key Responsibilities
Identify and engage referral sources through in-person, phone, and email outreach
Promote services at community events and through distribution of marketing materials
Educate clients and families on services and eligibility and direct inquiries to intake teams
Build and maintain referral relationships with consistent follow-up
Track outreach activities, maintain contact lists, and submit routine reports
Support marketing initiatives and coordinate with clinical and administrative teams
Greet patients and visitors in a friendly and professional manner, providing excellent customer service.
Manage patient scheduling, including appointments, follow-ups, and cancellations, ensuring efficient clinic operations.
Maintain accurate medical records and documentation in compliance with HIPAA regulations.
Assist with medical coding for insurance claims and billing processes.
Perform clerical duties such as filing, data entry, and managing correspondence.
Coordinate communication between patients and healthcare providers to facilitate care.
Ensure the office environment is organized and welcoming for patients.
Monitoring employee clock-in and clock-out times: This includes reviewing timesheets, identifying discrepancies, and addressing late arrivals or early departures.
Generating reports: Generating reports on attendance, punctuality, and hours worked is essential for payroll, scheduling, and labor law compliance.
Troubleshooting clock-in/out issues: Addressing technical issues with the time clock system or assisting employees who have problems clocking in or out is also part of the role.
Requirements
Previous experience in a Healthcare Outreach Coordinator/ administrative role or similar position is preferred.
Strong customer service skills with the ability to handle patient inquiries effectively.
Knowledge of medical records management and familiarity with medical coding practices.
Proficient in office software applications and computerized systems for scheduling and record-keeping.
Understanding of HIPAA regulations to maintain patient confidentiality.
Excellent organizational skills with attention to detail in all tasks performed.
Ability to work collaboratively within a team-oriented environment while managing multiple priorities.
