Job summary
Works as part of the Call Center team to manage incoming phone communication for the organization as a whole and particularly for community members seeking food assistance. Schedules participants to receive food and coordinates with referring agencies. Communicates with Logistics to ensure that the accurate number of food packages are created on a daily basis.
Summary of essential job functions

Receives incoming phone calls for the organization

Interacts with referral agencies and individuals seeking food assistance with professionalism and respect.

Processes referrals from agencies and self-referrals from participants

Handles participant referral documentation and advises new recipients on proper procedures

Uses Salesforce database to manage participant information, schedule appointments and track eligibility dates.

Ensures referrals are entered correctly into the database by staff and volunteers

Creates lists for participant distribution at various sites and notes special requirements as needed

Produces monthly reports and statistics as needed

Files documents as requested

Assists with participant survey process and collects participant feedback as needed

Provides excellent customer service to all callers or guests

Supports collection of data for quarterly grant reports

Performs other related duties as assigned
Minimum requirements

Exceptional customer service skills required to tactfully and professionally handle the needs of our participants

Able to multi-task effectively and handle a wide variety of diverse and concurrent responsibilities

Exceptional verbal and written communication skills

Demonstrated attention to detail in produced work

Experience supervising volunteers highly desirable

Excellent organizational skills

Ability to be proficient in use of Salesforce Database and Microsoft Office Software

Flexible and supportive team player that works cohesively with all levels of the Manna team

Some college education and 2+ years of demonstrated office or project management

Multilingual capacity highly desirable

Ability to work independently remotely as needed
Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to remain in a stationary position 50% of the time. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. The employee constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. The person in this position frequently communicates with staff, board members and vendors and must be able to exchange accurate information in these situations.
Environmental Conditions: The employee will be exposed to a variety of fluctuating environmental conditions within the building including heat and cold. The employee must be able to work in these conditions for up to 2 hours at a time.
