We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong communication skills and a professional demeanor, ensuring smooth operations within the office. This role is essential in providing support to various departments and enhancing the overall efficiency of our organization. The Administrative Assistant must have one year of experience in a Healthcare office environment.

Major Duties and Responsibilities :

Prepare correspondence and manage the collection, sorting, and distribution of incoming mail and sending outgoing mail.
Handle phone calls and maintain professional phone etiquette while addressing inquiries and directing calls appropriately.
Route faxes to the right folders and prepare patient charts.
Maintain and update patient records while ensuring confidentiality and compliance with healthcare regulations. Manage the intake process, including forms, consent documentation, and insurance verification.
Schedule meetings and coordinate appointments.
Assist with office management tasks, including inventory management and ordering supplies as needed.
Process expense reports and perform basic bookkeeping tasks.
Assist with event planning and coordination
Support office maintenance tasks.
Perform other administrative duties as assigned to support the company’s operations.

Qualifications Requirement :

Education: Diploma, high school degree. Additional education or certification in healthcare administration is preferred.
Experience: A minimum of one year of experience in a healthcare office environment is required. Prior experience in pediatric clinic practices is preferred.
Knowledge of medical terminology, how to read patient charts and diagnosis.
Strong understanding of HIPAA regulations to ensure the confidentiality and security of health information. Experience working with sensitive and confidential information.

Bilingual proficiency is preferred but not required.
