Job Summary
We are seeking a dynamic and highly organized Operations Assistant to support our daily business functions and ensure seamless office operations of our residential property management company. This role involves coordinating various administrative tasks, such as managing schedules. The ideal candidate will demonstrate excellent organizational skills, and possess a proactive attitude to help keep our operations running smoothly. Duties
- Serve as the first point of contact by answering and directing calls, responding to inquiries across multiple channels, and assisting visitors. Maintain and audit on-call list; coordinate updates with third party service providers, and circulate on-call service email recaps to appropriate team members.
- Receive, sort, and distribute mail and packages. Scan and upload invoices and certificate of insurance documents into applicable software systems.
- Handle, maintain, and audit tenant files, lease agreements, and Rental Accommodation Division (RAD) forms. Ensure files are current and legally compliant according to local and state housing regulations. File RAD forms for all move-in and move-outs on a monthly basis in DC Rent Registry Portal.
- Provide administrative support for in-house portfolio leasing process and communication for the Residential Management team, and in mailing resident notices, rent increase letters, and other needed correspondence for the Accounting and Residential Management teams.
- Track properties Department of Building’s property violations and infractions. Coordinate with Compliance leadership on status.
- Facilitate cross-channel feedback from residents and site team members and escalate feedback and recommendations to management and the leadership team.
- Monitor the corporate birthday and bereavement lists to ensure timely acknowledgment of team members. Prepare cards, coordinate leadership signatures, and distribute to team members. Support Leadership and Human Resources in executing additional recognition and condolence correspondence as directed.
Qualifications
- Minimum of one year of experience working in property management, accounting/finance, development, or construction or facilities management is required.
- Computer proficiency, including a working knowledge of Excel, is required. Familiarity with property management software programs such as Yardi, MRI, Safe Rent, RCC, and Avid Exchange is desirable.
- Strong attention to detail, problem-solving, and written and verbal communication skills.
- Working knowledge of residential leases, general accounting/financing including accounts payables, receivables and budgeting or the aptitude to quickly learn.
- Must be able to work independently, multi-task, and to effectively prioritize work.
- Possess an enthusiastic and positive attitude, as well as a strong work ethic.
- Collaborative, self-motivated, organized, attentive to details, able to prioritize and follow-up in a timely manner, and has exceptional customer service skills.

Pay: $21.00 - $23.00 per hour
