We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties

Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
Operate multi-line phone systems efficiently, directing calls accurately and professionally using proper phone etiquette
Manage front desk responsibilities including check-ins, appointments, and visitor sign-in procedures
Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy
Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments
Assist with bookkeeping activities using QuickBooks or similar accounting software to support financial record-keeping
Maintain office supplies inventory, order materials as needed, and ensure the workspace remains tidy and functional
Provide administrative support including typing correspondence, managing emails via Google Workspace or Microsoft Office, and performing clerical duties as required
Support team members with personal assistant tasks such as travel arrangements or document preparation when necessary

Skills

Proven experience in office management or administrative roles with strong organizational skills
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
Familiarity with QuickBooks for bookkeeping and financial record management
Strong multi-tasking abilities with effective time management skills in a fast-paced environment
Exceptional phone etiquette skills combined with bilingual capabilities (if applicable) to serve diverse clients effectively
Attention to detail in proofreading documents and data entry tasks to ensure accuracy
Experience working as a dental or medical receptionist is a plus but not required; relevant clerical experience is valued highly
Ability to handle confidential information discreetly while providing outstanding customer support
