About Shipfluence: Shipfluence is a boutique fulfillment company based in Lorton, Virginia. We’re a small but mighty team of 5–7 people who care deeply about the work we do. We partner with independent artists, influencers, and product-based business owners to manage the fulfillment side of their business to help the scale. We handle everything from warehousing and inventory management to wholesale and retail fulfillment, shipping, and packaging projects as needed. Accuracy, care, and adaptability are at the core of our operations.
Our Story: Shipfluence was born from a small stationery brand, The Card Bureau, founded in 2016 by Janie Velencia. She launched the company with just $60 and grew it to a nationally recognized brand carried in more than 2,000 stores across the country, including major retailers. As her business scaled, fulfillment quickly became one of the biggest operational challenges and was often stressful, costly, and difficult to manage.
Over time, Janie built a streamlined, high-quality fulfillment infrastructure for her own business, and in 2023 she began helping other small brands facing the same hurdle to growth. What started as a way to support fellow founders has now grown into a fulfillment company serving 10 clients and counting.

Job Description: We are seeking an operator that can come in and create and improve processes to help us better manage our current operation and set us up for faster scale. We need someone who has experience running a warehouse, whether it be for a fulfillment company or for a product brand. Someone who can come in and take full responsibility over the day-to-day operation and manage things easily on their own with the support of a team. We will consider applicants who bring relevant skills even if they don’t have direct fulfillment experience.
This role is a blend of Warehouse Manager and Operations Manager, ideal for someone who enjoys both hands-on work and big-picture thinking. Because we’re a small but growing company, this person will wear multiple hats: overseeing daily warehouse operations, helping with inventory and order fulfillment when needed, and also driving process improvements that increase efficiency, accuracy, and scalability. If they can also handle client communications, that would move things up on the compensation scale.
We’re looking for someone who is organized, proactive, and excited to build structure, not just follow it. This role comes with significant responsibility and autonomy, but without the constant high pressure of a large-scale warehouse. Most months are low-stress and steady, with a predictable ramp-up during the holiday season.

As the Warehouse Manager at Shipfluence, you will be the backbone of our daily operations. You’ll oversee a small team of 3–5 people, manage schedules, and ensure the warehouse runs smoothly and efficiently. Currently, the owner remains heavily involved in daily operations, but is seeking someone who can take on full responsibility and free her to focus on business development. Ideally, you’ll be able to manage the warehouse independently—if not immediately, then within 2-3 months.
Working hours are 8AM-4:30PM Monday-Friday
Key Responsibilities:
- Manage day-to-day operations of the warehouse, including staff supervision, scheduling, and overseeing fulfillment and packaging tasks
- Create and improve structure and processes
- Manage overall warehouse operations and fully operate the warehouse unassisted
- Communicate effectively and clearly with warehouse team; we need a good communicator and someone who is proactive about communicating, who doesn’t need to be asked if something got done or is taken care of
- Manage inbound and outbound deliveries and communicate accordingly about them
- Manage inventory receipts and kitting assignments
- Lead and assign picking, packing, and kitting tasks to associates
- Ensure effective inventory management and quality control
- Oversee and manage fulfillment processes
- Oversee daily shipping of orders & manage order flow
- Ensure orders are going out in a timely manner (typically within 1-3 business days)
- Able to take initiative and problem solve
- Work with CEO to improve the process
- Oversee the ordering of shipping and warehouse supplies
- Maintain general warehouse organization and cleanliness
- Assist with hiring new employees
- Train new employees and conduct yearly evaluations alongside the CEO
- Provide guidance and feedback to employees on a regular basis
- Communicate effectively with the CEO/COO regarding staffing needs and operational adjustments
- Collaborate with fulfillment associates to prioritize work schedules
- Oversee building operations and be able to effectively handle issues that come up, things like light bulbs are out, you call the light bulb company. Pest service didn’t show up, you call them up to make the appointment.
- Open and close the warehouse or delegate and train an associate to do so
- Handle high-volume work periods, particularly during the winter holiday retail season (October-January).
- Recommend and implement changes to activities, processes and workflows to meaningfully improve the customer experience, speed up the process and/or reduce costs.
- Be able to evolve and grow with the role as the business grows
Other Key Responsibilities:
- Must have or be able to develop a thorough understanding of Shipstation and Extensiv (WMS system)
- Be able to use Extensiv (our WMS software) with ease and perform the following tasks:
- Create warehouse locations and bin locations
- Be able to create inventory adjustments in Extensiv
- Be able to run reports to track issues in Extensiv
- Work with CEO to improve Extensiv logic
- Work with CEO to analyze shipping data to be able to evaluate and set warehouse capacity and employee benchmarks and accurately assess labor needs
- Be able to manage the physical onboarding of new clients (working with team to build shelves, locations, ensure inventory is packaged for picking and move the inventory into place) and technical (working with our systems manager and account manager to align the software flow with the physical warehouse set up of new clients).
- Participate in the company slack channel. Either directly or indirectly communicate issues that arise with client orders and inventory and make adjustments as necessary
- Communicate with account manager to resolve inventory discrepancies and eventually be able to handle them independently
Ideal Candidate:
- Demonstrates exceptional attention to detail, is super organized and has the ability to work efficiently and independently in a fast-paced environment.
- Has an interest in stationery and gift products and small businesses
- Has the ability to effectively prioritize tasks
- Has previous experience in personnel management and warehouse or logistics management
- Has experience growing a small scale fulfillment operation for a single brand or a fulfillment company
- Comfortable with technology and has a strong familiarity with either specifically with Extensiv and Shipstation or a WMS software system in general
- Shows critical thinking and problem-solving abilities, with a solution-oriented mindset.
- Possesses strong communication skills, both verbal and written
- Must be trustworthy, reliable, and hard-working
- Must be able to manage all warehouse operations without any assistance from the CEO
- Must be a self-starter and work well within a team, with an enthusiastic and friendly personality
Requirements:
- Management experience is essential
- Ability to sit and/or stand for long periods
- Ability to lift up to 50lbs
- Ability to climb warehouse ladders
- Bonus points if you know how to operate a forklift
PAY:
- Pay $50-65k, commensurate with experience.
