Administrative Assistant

Position Summary
The Administrative Assistant serves as the welcoming first point of contact for families, students, staff, and visitors. This role supports the Director with daily operations of the school through strong organization, communication, and customer service while upholding the values and culture of a Montessori learning environment. They will play an "all hands on deck" role and serve as an integral part of school operations and administration. The expectation is that this role will transition to become the Assistant Director.
Key Responsibilities, Administrative Duties and School Operations
- Manage school calendar of events and daily staff schedule
- Support planning and coordination of school events and teacher/parent meetings
- Help maintain compliance documents and licensing records as needed
- Coordinate with vendors and service providers
- Order and track office and classroom supplies
- Be able to support in the classroom, as needed
Enrollment Support
- Support on marketing planning and execution of events (occasional evening and weekend events)
- Answer phone calls, emails, and general school inquiries
- Support enrollment, admissions, and registration processes
- Support admissions tours and prospective family communication
- Maintain accurate enrollment and waitlist information
Required Qualifications
- Bachelor’s degree required (degree in education preferred)
- 48 semester hours of college credit, including at least 12 credit hours of child-related instruction or education certificate required (including Montessori education certificate through AMI, AMS, PMI or other MACTE accredited institution)
- 1 year of programmatic experience working in childcare, child development, or education
- 1 year of supervisory experience (this includes time in the classroom as a lead teacher to an assistant teacher)
- Excellent organization and attention to detail
- Proficiency in Google Workspace
- Professional, dependable, and family-oriented demeanor
Preferred Qualifications
- Previous administrative or school office experience
- Experience working in a Montessori or independent school environment
- Familiarity with student information systems or enrollment software
- Spanish language abilities is a plus
Work Environment
- Full-time or part-time, on-site position (school operating hours are 7am-6pm, M-F)
- Year-round schedule with occasional evening and weekend events
- Collaborative and child-centered educational environment

Pay: $21.00 - $23.00 per hour
