The Opportunity
Heritage Signs & Displays is seeking a dependable, motivated, and highly versatile Operations Support Assistant to join our Arlington office and Washington, DC market team.
This is a permanent, full-time position and an excellent opportunity for someone beginning their career — including a recent high school, trade school, community college, or college graduate — who wants to gain broad professional experience and grow with a thriving professional organization focused on transforming workplace interiors and event environments through consultative collaboration, design, manufacturing, and installation of custom signs, graphics, and displays.
The Operations Support Assistant works directly with the Washington DC Market Manager and gains hands-on exposure to office operations, logistics, client service, project coordination, workplace branding, event environments, site surveys, deliveries, company vehicle management, and sign and graphics installations.
This is not a traditional desk-only administrative position. The role combines professional office responsibilities with active field and operational support. Priorities may change throughout the day, and the successful candidate must be flexible, responsive, organized, physically capable, and willing to assist wherever needed.
Position Details
- Location: 4211 Fairfax Drive, Arlington, VA 22203
- Regular schedule: Monday through Friday, 7:30 a.m. to 4:00 p.m.
- Position type: Full-time, hourly, non-exempt
- Reports directly to the Washington DC Market Manager
- Occasional early mornings, evenings, weekends, overtime, or adjusted schedules may be required to support installations, deliveries, events, and other business needs.

Early-Career Development

The position begins with a structured 90-day introductory and training period that includes regular feedback, performance discussions, and clearly communicated expectations. Primary Responsibilities
Office and Administrative Support
- Report reliably to the Arlington office and be prepared to begin work by 7:30 a.m.
- Provide front-desk and general office coverage when not completing field assignments.
- Professionally greet clients, visitors, vendors, and delivery personnel.
- Receive, document, organize, and distribute packages and deliveries.
- Assist with filing, scanning, printing, data entry, document preparation, and other administrative assignments.
- Help prepare materials, tools, paperwork, equipment, and vehicles for upcoming projects.
- Coordinate routine pickups, deliveries, appointments, and logistical needs.
- Monitor office supplies and communicate when items need to be reordered.
- Maintain clean, organized, and client-ready office, reception, kitchen, and meeting areas.
- Take out trash, reset meeting spaces, and address routine office needs.
- Handle company and client information with professionalism and discretion.
Deliveries, Errands, and Transportation
- Complete local deliveries, pickups, supply runs, and business-related errands throughout the Washington, DC metropolitan area.
- Safely and professionally operate company vehicles.
- Transport the Washington DC Market Manager, employees, materials, tools, or equipment as assigned.
- Fuel company vehicles and take them for washing, cleaning, inspections, maintenance, or service appointments.
- Help maintain vehicle cleanliness and organization.
- Promptly report vehicle maintenance, safety, or operational concerns.
- Maintain accurate receipts, delivery records, mileage information, and other required documentation.
- Adjust routes and daily plans based on changing operational priorities.
Field and Project Support
- Accompany team members on site surveys and assist with measurements, photographs, notes, equipment, and documentation.
- Provide an additional set of hands during sign and graphics installations.
- Assist with loading, unloading, organizing, and transporting project materials, tools, and equipment.
- Help installation personnel with site preparation, material handling, cleanup, and other appropriate assignments.
- Assist with deliveries, setups, removals, and event-related project needs.
- Maintain a professional and respectful presence at client offices, event venues, construction sites, and other project locations.
- Follow company safety procedures and instructions while working in the field.
- Support occasional early-morning, evening, or weekend installations, deliveries, and events.
- Complete other reasonable office, field, administrative, and operational assignments as business needs arise.

Required Qualifications
- High school diploma or equivalent.
- Valid driver's license.
- Strong driving record and ability to remain insurable under the company's vehicle-insurance requirements.
- Reliable transportation and the ability to commute consistently to 4211 Fairfax Drive in Arlington.
- Ability to communicate fluently and professionally in spoken and written English.
- Strong attendance, punctuality, judgment, organization, and follow-through.
- Professional, clean, and client-ready appearance.
- Willingness to wear a company-issued uniform while working.
- Ability to follow verbal and written instructions accurately.
- Comfort using email, smartphones, GPS navigation, and basic office technology.

Preferred Qualifications
- Previous experience in an administrative, office-support, operations, facilities, delivery, installation, hospitality, retail, construction, or field-service position.
- Experience interacting directly with clients, visitors, and vendors.
- Familiarity with Microsoft Outlook, Word, Excel, Teams, or similar applications.
- Experience driving cargo vans or other company vehicles.
- Basic familiarity with hand tools, measurements, installations, or site documentation.
- Previous Administrative Assistant or Executive Assistant experience.
Previous professional experience is helpful but not required for a candidate who demonstrates exceptional reliability, maturity, initiative, professionalism, and willingness to learn.
Physical and Work Requirements
- Ability to independently lift and carry up to 70 pounds.
- Ability to assist with team lifts involving larger or heavier materials and equipment.
- Ability to remain physically active throughout the workday.
- Ability to stand, walk, bend, reach, climb, kneel, crouch, push, pull, and carry materials for extended periods.
- Ability to regularly load and unload vehicles and move tools, supplies, equipment, and project materials.
- Ability to work indoors and outdoors in varying weather and site conditions.
- Ability to safely use a step stool or ladder when properly trained and directed.
- Ability to travel locally between the Arlington office, client locations, vendors, event venues, and project sites.
Work Environment
This position operates across professional offices, company vehicles, production and warehouse environments, event venues, active project sites, and client facilities.
Some days may be primarily office-based. Other days may involve deliveries, errands, vehicle care, site surveys, installations, or travel between multiple locations. The employee must be comfortable adapting to different environments, assignments, and changing business priorities.
