Job Overview
We are seeking a dynamic and organized Preschool Office Assistant to join our vibrant early childhood education team. In this role, you will serve as the friendly face of our preschool, managing daily administrative operations with enthusiasm and professionalism. Your proactive approach will ensure smooth office functions, excellent communication with parents and staff, and a welcoming environment for all visitors. This is a summer position with the opportunity for continued employment.

Duties

Greet parents, visitors, and staff with warmth and professionalism at the front desk, providing exceptional customer service and support.
Manage multi-line phone systems efficiently, directing calls accurately and courteously while taking detailed messages when necessary.
Maintain organized filing systems for student records, attendance logs, and administrative documents to ensure compliance with licensing requirements.
Handle data entry tasks using computer skills in Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes.
Support calendar management by scheduling appointments, meetings, and events for teachers and administrators with precision.
Assist with office management duties and enrollments and scheduling and managing tours.
Provide clerical support including typing correspondence, managing incoming mail, and ensuring all paperwork is accurate and complete.
Utilize strong organizational skills.
Be able to assist in the classroom when needed.

Experience

Prior office experience in an educational or childcare setting is highly preferred.
Demonstrated proficiency with computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping tasks.
Experience handling multi-line phone systems and providing exceptional customer service in a busy environment.
Bilingual abilities are a plus to effectively communicate with diverse families and community members.
Strong organizational skills with attention to detail in filing, data entry, proofreading, and calendar management.
Clerical or administrative experience that showcases your ability to manage multiple tasks efficiently while maintaining professionalism.
