Overview:

Loudoun Stairs, Inc: We are a premier stair and rail manufacturing company located in Purcellville, VA, offering exceptional staircase solutions.

We are seeking an Administrative Assistant who can also provide front desk reception support. The ideal candidate is highly motivated, personable, and exceptionally organized, with the ability to manage multiple priorities in a professional and efficient manner. This individual will bring enthusiasm, strong communication skills, and a proactive attitude to help keep our office running smoothly while creating a welcoming first impression for visitors, customers, and staff.

Job Functions

Greet walk-in customers and visitors in a friendly and professional manner
Answer incoming phone calls and direct them to the appropriate person or department
Respond promptly to customer inquiries via phone, email, and in person
Monitor customer order status and provide updates as needed
Contact customers regarding incomplete order details that may delay shipment
Handle customer complaints and work toward timely resolution
Match work orders to invoices and maintain accurate records
Track company charges, refunds, and related documentation
Maintain filing systems and process customer accounts
Provide general administrative support to office staff and management
Collect, sort, and distribute incoming mail
Assist with additional office tasks and special projects as needed

Experience:

Previous experience in an administrative role preferred
Proficiency with Microsoft Office Suite and general office software
Excellent phone etiquette and strong customer service skills
Experience handling multi-line phone systems
Strong organizational skills and attention to detail
Ability to multitask and prioritize responsibilities effectively
Professional demeanor with excellent communication skills
Experience in a manufacturing office environment is a plus
Dependable, punctual, and team-oriented
