Responsibilities

Manage multi-line phone systems, directing calls with professionalism and courtesy while maintaining excellent phone etiquette.
Perform data entry and maintain accurate records using productivity software such as Microsoft Office and Google Workspace.
Handle front desk duties including greeting visitors, managing appointments, and overseeing calendar management for staff.
Support office management tasks such as filing, proofreading documents, and organizing supplies to ensure a well-functioning workspace.
Provide customer support by answering inquiries promptly, assisting with client requests, and ensuring positive interactions.
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices.
Coordinate with team members on scheduling, document preparation, and other administrative projects to boost overall productivity.

Experience

Proven administrative experience in an office setting, ideally including roles such as receptionist or personal assistant.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
Familiarity with office management procedures, clerical tasks, filing systems, and calendar management tools.
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
Experience working in customer service environments or front desk roles that require professional communication skills.
Bilingual abilities are highly desirable to support diverse client interactions.
Previous experience in medical or dental reception is not mandatory, but highly desirable; relevant technical proficiency is essential for success.
