POSITION OBJECTIVE:

The Community Engagement Assistant plays a vital role in the daily operations of Phillips@THEARC at our satellite location: 1801 Mississippi Ave SE, Washington, DC 20020. In addition to providing critical administrative support, The Community Engagement Assistant staffs open hours and engages with visitors, creating a welcoming space for all.

ESSENTIAL FUNCTIONS:

The Community Engagement Assistant plays a vital role in the daily operations of Phillips@THEARC, in addition to providing critical administrative support.
Engage with visitors, and acts as a brand ambassador for Phillips@THEARC, by creating a welcoming space for all guests
Collaborate closely with the Manager of Community Projects and Programming to draft and maintain essential program documents such as artist contracts, pay requisitions, technical requirements, PowerPoints, and event flows.
Provide production assistance with community projects and programs, and support the Manager of Community Projects and Programming with developing art activations for community festivals.
Serve as the primary invigilator/gallery assistant during gallery opening hours at Phillips@THEARC, including on weekends and evenings.
Safeguard Phillips@THEARC art exhibitions, ensuring application of The Phillips Collection policies and procedures with contractors, guests, and staff.
Manage inventory of supplies and materials needed for community programs and events.
Manage vendor and partner logistics, including catering, and other service providers, ensuring the seamless execution of both in-person and virtual programs.
Support the planning and technical setup of hybrid and online events, including webinar platform management and real-time troubleshooting.
Assist in the creation and maintenance of departmental tools, including programming calendars, budget templates, and tracking documents.
Process payment forms for departmental and program-related expenses in alignment with organizational protocols.
Organize and support monthly programming meetings, including scheduling, note-taking, and coordination of follow-up actions.
Participate in the physical setup and breakdown of event spaces; move light furniture and event materials (up to 30 lbs.) as needed.
Act as a professional representative of the museum when engaging with the public, speakers, and special guests, maintaining a courteous and welcoming demeanor at all times.
Provide other administrative support as needed and assigned.

POSITION REQUIREMENTS & QUALIFICATIONS:

Two years of administrative experience.
Must be punctual and able to work a flexible schedule for events and gallery hours.
Availability to work evening and weekend hours on a regular basis.
Excellent written and oral communication skills.
Demonstrated interest or experience in event production or cultural programming.
Strong organizational skills and keen attention to detail, with the ability to manage multiple timelines and priorities.
A collaborative team player with a proactive, problem-solving approach and the ability to thrive in a fast-paced, dynamic environment.
Familiarity with budget tracking and administrative systems is preferred.
Experience with Windows and Mac OS.
Commitment to high-quality public engagement and a passion for the arts and culture sector

PHYSICAL REQUIREMENTS

On occasion, depending on the tasks, may need to lift boxes, tables, chairs, or other items, potentially up to 30 lbs. with assistance. Reaching for items, arranging displays, or setting up décor/signage can be a frequent part of the job. Bending and stooping may be necessary for setting up tables, adjusting décor/signage, or cleaning up.
