THE EXPECTATIONS

To be the bridge between the on the ground work and administration. To maintain and continue to improve the program offerings at all times. To create and maintain strategic relationships and partnerships inside and outside of the organization. To assist in managing the day-to-day operations of the programs that support reaching the revenue and recruitment goals for each month, quarter and year.

PROGRAM MANAGEMENT

Assists in the development, coordination and facilitation of Vikara Village®’s mind-body groups. This may include working closely with clients and other team members.
Develop comprehensive reports on ongoing programs and submit summary reports to management each month.
Maintain accurate records on registration growth and retention, and report as required to managers and team.
Update partners, as needed.
Operates at a detailed level of execution, managing the flow of action items, deadlines, and briefing materials for meetings, events, and programs.
Ensures that everyone on the program team is truly following, and adhering to the organization’s core processes and operating systems with consistency.

FACILITATOR COLLABORATION & TEAM MANAGEMENT

Helps achieve appropriate goals for the team.
Assist with assigning program sites and locations to Facilitators.
Maintain communication with Facilitator team, including:
Check in with individual team members
Monthly team meetings (as possible)
Helps ensure the team is healthy, functional, and cohesive.
Communication with in-office team through Slack and email.
Project collaboration through Google Workspace.
Resolves issues effectively - seeing real problems, being comfortable with conflict, calling out the problems, and solving the problems in a practical and healthy manner.

COMMUNITY OUTREACH

Serving as one of the first points of contact for current program partners and Facilitators.
Assessing continued opportunities for growth within the community.
Supporting strategies for increased presence in the community.
Documentation of outreach efforts and knows how to follow-through.
Excited to share the stories of our participants and Facilitators.

ED & ADMIN TEAM RELATIONSHIP

Effectively collaborates with the Executive Director and Admin Team to stay on the same page.
Provide timely and accurate reports to ED and Admin Team.
Meet on a weekly basis to discuss strategy implementation and team performance.
Assist with monthly linear and contingency planning.
Filters the ED’s ideas to eliminate hurdles, stumbling blocks, and barriers for the team.

QUALIFICATIONS

Bachelor's degree in related area (e.g., social work, behavioral health, mental health, etc), and/or equivalent (3-5 years) experience/training
Must have sound judgment, diplomacy skills, and the ability to take initiative
Excels at working with people and holding them accountable
Experience with running groups, preferred
Must also have exemplary skills and knowledge in the following areas:
Yoga and wellness, registered yoga teacher preferred
Proven ability to organize assignments and tasks with competing priorities and deadlines
Ability to act upon the broad goals of the organization and understand their implications for the Program Assistant's goals and tasks
Ability to work independently and as part of a team
Strong skills to communicate effectively and diplomatically, both verbally and in writing, with various stakeholders
Understanding of or ability to quickly gain an understanding of Vikara Village®’s culture and mission. This includes an understanding of mental health and mind-body practices
Proficient in common computer application programs, including Slack, Google Workspace (Gmail, Google Drive, Google Calendar, etc)
Adaptable, flexible, and excels under pressure
Analytical skills to research and present information and data in formats as appropriate
Ability to use high-level discretion and maintain a high-level of confidentiality
