Job Summary
We are seeking a highly organized and personable Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing a variety of administrative tasks. This role requires proficiency in handling multi-line phone systems, maintaining office organization, and supporting daily operations.

Duties

Greet and assist clients and visitors in a professional manner.
Manage incoming calls through a multi-line phone system, directing calls to appropriate personnel.
Maintain an organized front desk area, ensuring all materials are stocked and accessible.
Perform data entry, filing, and clerical tasks to support office operations.
Utilize QuickBooks for basic bookkeeping tasks as needed.
Schedule appointments and manage calendars for staff members.
Provide customer support by addressing inquiries and resolving issues promptly.
Assist with proofreading documents to ensure accuracy and professionalism.
Utilize Microsoft Office and Google Workspace for various administrative tasks, including typing reports and correspondence.
Support office management functions, including inventory management and ordering supplies.
Maintain confidentiality of sensitive information in accordance with company policies.

Experience

Previous experience in a front desk or receptionist role is preferred.
Familiarity with multi-line phone systems is essential.
Bilingual candidates are encouraged to apply for enhanced communication with diverse clientele.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Experience in customer service or administrative roles is highly valued.
