Job Summary We are seeking a highly organized and detail-oriented Administrative Assistant to join our Senior Care Placement & Consulting team on a temporary basis. The ideal candidate will possess strong clerical and customer service skills, with the ability to manage multiple tasks efficiently in a fast-paced environment. This role requires proficiency in various office software and excellent communication abilities, as you will be the first point of contact for families seeking senior care solutions and healthcare partners.

Responsibilities

Handle multi-line phone systems with professionalism and courtesy, fielding inquiries about senior care placement services
Perform data entry tasks accurately and efficiently, maintaining client records and care facility databases
Maintain organized filing systems for easy access to client files, care assessments, and facility documentation
Assist with calendar management, scheduling consultations with families and appointments with care facilities
Provide customer support to families navigating senior care options through effective communication and problem-solving skills
Prepare documents using Microsoft Office and Google Workspace applications, including care plans and placement agreements
Proofread correspondence, care assessments, and reports for accuracy before distribution to families and facilities
Support office management activities, ensuring a smooth workflow within our senior care consulting environment
Assist with clerical duties such as typing consultation notes, organizing client files, and managing office supplies
Coordinate communications between families, care facilities, and healthcare providers as needed

Experience

Proven experience in an administrative role or similar position is preferred
Familiarity with front desk operations and phone etiquette is essential for interacting with families during sensitive care decisions
Bilingual candidates are encouraged to apply to better serve our diverse client families
Previous experience as a medical receptionist or in healthcare administration is highly valued
Strong organizational skills with the ability to prioritize tasks effectively in a senior care environment
Proficient in computer literacy, including Microsoft Office Suite and Google Workspace applications
Experience in bookkeeping or basic accounting practices is beneficial
Excellent time management skills to meet deadlines consistently while handling sensitive family situations with empathy
Understanding of senior care services, healthcare terminology, or family support services is a plus
