The Administrative Assistant, Receptionist will report to the Office Manager/Executive Assistant. This role combines administrative support with front-desk responsibilities, providing a positive first impression for visitors and contributing to the efficient management of daily office tasks. Essential Duties and Responsibilities:
- Greet and welcome visitors and determine purpose of visit.

Maintain and assure security compliance protocols ensuring all visitors sign in visitors access control log and visitor’s badge is always displayed.

Assist employees with travel expense reporting using Concur, ensuring accuracy, compliance, and timely submission, when needed.

Maintain a consistently clean and professionally organized area.

Exceptional customer service skills assisting customers in a courteous and professional manner and tone.

Assist with daily operational activities including facility support, visitor parking, and administrative support services

Operate office equipment for printing and scanning functions and maintain equipment condition.

Manage incoming phone calls, prescribe messages, and deliver to appropriate staff.

Assist in organizing and coordinating meetings, workshops, and events.

Receive, sort, and distribute mail, and other miscellaneous BFA correspondence.

Maintain office supplies, refreshments inventory, and place orders when necessary.

Support staff members in preparing reports, presentations, and other relevant documents.

Performs other related duties as assigned.
Supervisory Responsibilities:
- Expected travel: No regular travel for role, however, periodic travel to HQ in Bryan, Texas may be required.
Required Skills/Abilities:
- Excellent communication skills (verbal and written)
- Professional phone etiquette
- Strict attention to detail and accuracy.
- Proficient in Microsoft Suite (Word, Excel, Powerpoint)
- High level of integrity and commitment to BFA's core values.
- Ability to function well in a fast-paced environment.
- Proficient with Microsoft Office Suite.
Education, Certifications, and Experience:
- Minimum high school diploma
- Experience in business administration or business administration
- Basic exposure to business communication protocols
- 1 – 2 Years of office experience required
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to lift up to 20 pounds.

The anticipated hourly range for this role is $20.31 - $25.28 per hour, based on factors such as experience, skills, required location, and available funding. This range reflects the base salary and does not include any possible bonuses or benefits. Actual compensation may vary and will be determined during the interview process and in accordance with applicable laws.
