Position Overview
We are seeking a motivated and efficient Office Manager/Administrator to join our growing team. This role requires versatility, accuracy, and the ability to deliver time-sensitive work efficiently. The position includes office management duties, client invoicing responsibilities, and administrative support for tax services. You will be working proactively with the office team and CEO to ensure smooth operations. Required Qualifications
- Prior knowledge of tax law or a strong desire to learn
- Strong analytical, organizational, written, and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Ability to effectively organize, prioritize, and manage multiple projects under tight deadlines
- Exceptional attention to detail for data entry and financial accuracy
- Ability to read and understand accounting reports and financial statements
- Experience with invoicing and billing processes
- Ability to work proactively and collaboratively with team members and leadership
- Self-sufficient and able to work independently with minimal supervision
Preferred Qualifications
- Bilingual in Spanish and English
Key Responsibilities Client Service & Communication
- Manage phone calls, emails, and other communications with clients and stakeholders
- Communicate with clients nationwide via telephone regarding tax matters
- Communicate with the IRS and other tax authorities as an advocate on behalf of clients
- Provide attentive service and timely client follow-up
- Greet visitors and manage reception duties as needed
- Deliver quality work with quick turnaround times
Office Management & Financial Administration
- Oversee daily office operations and workflow management
- Work proactively with office team and CEO to coordinate tasks and priorities
- Prepare and send client invoices accurately and in a timely manner
- Track and follow up on outstanding invoices and payments
- Manage calendars, schedule appointments, meetings, and travel arrangements
- Organize and maintain physical and digital files, including paperwork and reports
- Perform data entry and maintain databases with accurate record keeping
- Order and maintain office supplies and ensure equipment is in working order
- Sort and distribute mail and manage incoming and outgoing packages
- Complete other duties as assigned by company management
