Position Overview:
We are seeking a dependable and highly organized Medical Assistant / Front Desk Coordinator to join our clinical team. This is a full-time, dual-role position designed for a candidate who is committed to providing outstanding administrative and clinical support in a fast-paced medical practice. A minimum two-year commitment is required for consideration.
Hours:
Mondays, Wednesdays, and Thursdays: 10:00am - 6:00pm
Saturdays: 10:00am - 5:00pm
Training and Evaluation Period:
The first three months will serve as a structured training and evaluation period, during which the candidate will receive hands-on guidance and orientation to the clinic’s operations. Upon successful completion of this phase, the candidate will be placed on the payroll and eligible for a benefits discussion.
Key Responsibilities:
- Administrative & Front Desk Duties:
- Answer incoming phone calls and route messages appropriately
- Respond to patient inquiries and concerns in a professional, timely manner
- Schedule appointments, follow-ups, and provider lunches with pharmaceutical representatives
- Manage incoming emails and electronic communications
- Monitor and organize incoming faxes, including medical reports and refill requests
- Check in and check out patients
- Create and label charts for new patients
- Coordinate with pharmacies to process medication refills
- Submit and track prior authorization requests
- Submit and follow up on referrals through the Tricare system
- Access and review radiology reports as needed
- Draft and issue medical reports or letters on behalf of the provider
Housekeeping & Recordkeeping Duties:
- Monitor inventory and order medical and office supplies as needed
- Periodically pull and archive patient charts older than three years in accordance with office policy (every January)
