General Description
As the Finance and Office Assistant at Capitol Hill Pregnancy Center, you will play a vital role in ensuring our ministry runs smoothly. This position combines financial management and office administrative support, enabling our program staff to focus on serving women, men, and families in need. Reports to: The salary for this role is $50,000/year for a 35 hr/full time work week.

Qualifications:
- A committed Christian with a growing, personal relationship with Jesus Christ as Savior and Lord.
- Strong commitment to the pro-life mission and biblical values.
- Willingness to uphold the Center’s Statement of Principle, Statement of Faith, and organizational policies.
- 2-5 years of bookkeeping experience, with proficiency in QuickBooks.
- Strong organizational and problem-solving skills; able to work independently while also collaborating with a small team.
- Effective communicator who maintains open and constructive relationships with supervisors and coworkers.
- Willingness to learn and use new tools/apps such as Canva and email marketing platforms.
- Experience working in CRM platforms such as Abila, Bloomerang, or Coolfocus, and Microsoft Office Suite Programs (i.e. Word, Excel, etc.)
- Prior experience in a ministry or nonprofit setting is preferred
Key Responsibilities:
Financial Management
- Manage core functions of Accounts Payable & Accounts Receivable using QuickBooks/QuickBooks Online.
- Process deposits and donor receipts.
- Reconcile bank accounts, track & record staff credit card expenses for month-end close.
- Maintain accurate & timely donor records recording contributions and prepare donor-specific financial reports for acknowledgement of monthly, quarterly and year-end giving using Abila.
- Monitor giving data, respond to questions, and follow up quickly on missing items, payments, or declined credit cards.
- Manage staff timekeeping, assist with processing payroll & payroll reports i.e. quarterly 941, W2s, and 1099s
- Assist with audits and submitting 990s. 2. Office Administration
- Support human resource function, i.e., benefits administration, onboarding, termination,and ensure new hire documentation is complete and compliant.
- Order supplies, manage vendor relationships, and maintain appropriate inventory.
- Ensure compliance with the Center’s policies, procedures, and financial guidelines.
- Provide administrative support for leadership and special projects.
- Assist with newsletters, email campaigns, and donor appreciation initiatives
- Troubleshoot office technology and provide file migration assistance.
- Maintain all new filing systems.
- Conduct annual and regularly scheduled administrative updates, including collecting information for 1099 forms, renewing association memberships,, updating branded documents (e.g., letterhead), and updating internal systems with current information.
