Bid Coordinator/Executive Assistant Local - Hunt Valley, Maryland
About the Role: We are seeking a highly organized and detail-oriented professional to join our team as a Bid Coordinator / Executive Assistant. This unique hybrid role combines the precision and analytical skills required for managing bids with the administrative expertise needed to support executive operations.
Key Responsibilities
Bid Coordinator Duties
- Organize and manage bid submissions on bid days, ensuring accuracy and timeliness.
- Maintain and manage bid-related documentation and records.
- Analyze bid data and assist in preparing competitive proposals.
- Collaborate with internal teams and subcontractors to gather necessary information.
- Leverage knowledge of MEP trades (Mechanical, Electrical, Plumbing) to support bid preparation.
Executive Assistant Duties
- Assist with company and employee insurance administration.
- Support 401(k) plan management and related employee benefits.
- Prepare and maintain reports, spreadsheets, and presentations using Microsoft Office Suite.
- Provide general administrative support to executives, including scheduling and correspondence.
- Serve as a personable and professional point of contact for internal and external stakeholders.
Qualifications
- Previous experience in bid coordination or a similar role; familiarity with MEP trades preferred.
- Strong organizational and time-management skills with attention to detail.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Excellent communication and interpersonal skills.
- Experience with insurance and retirement plan administration is a plus.
Pay: $50,000.00 - $55,000.00 per year
