Position Summary
Renoxx Caregivers Inc. is seeking a Quality Assurance Administrative Assistant that will support the Quality Assurance (QA) team in maintaining compliance with internal policies, regulatory standards, and audit requirements. This role focuses on documentation tracking, data accuracy, audit preparation, and administrative coordination to ensure quality and compliance across programs.
The ideal candidate is analytical, organized, and proactive, with demonstrated experience reviewing records, identifying compliance gaps, analyzing trends, and implementing corrective actions within a healthcare or human services setting.
Key Responsibilities
- Conduct ongoing and scheduled quality assurance audits of client records, staff documentation, service logs, and electronic systems to ensure compliance with DDS regulations and organizational policies.
- Monitor and evaluate adherence to DDS standards, licensing requirements, internal procedures, and documentation timelines.
- Review, validate, and monitor data entries, staff training records, and compliance documentation for accuracy, completeness, and timeliness.
- Identify documentation gaps, compliance risks, and performance trends; develop, implement, and track corrective action plans in collaboration with leadership.
- Partner with cross-functional teams including Human Resources, Case Management, Nursing, and Operations to promote consistent quality and compliance practices.
- Support preparation for internal, external, and regulatory audits (including PCR reviews), ensuring audit readiness and timely resolution of findings.
- Track, analyze, and report quality assurance metrics, audit results, and compliance outcomes to leadership with actionable recommendations.
- Provide training, coaching, and technical assistance to staff on documentation standards, compliance expectations, and quality improvement initiatives.
- Maintain organized, secure, and up-to-date QA files, reports, and compliance documentation in accordance with confidentiality requirements.
- Assist with the development, review, and implementation of policies, procedures, and continuous quality improvement initiatives.
Qualifications
- Bachelor's degree in healthcare administration, Human Services, Business Administration, Social Work, or related field required.
- Experience with compliance systems, electronic health records (EHR), or HRIS platforms
- Familiarity with regulatory standards (e.g., DDA, DDS, HIPAA, or similar governing bodies)
- Basic understanding of audit processes and quality assurance frameworks

- Excellent organizational and time management skills
- Proficiency in Microsoft Office (especially Excel for tracking and reporting)
- Ability to handle sensitive and confidential information with discretion
- Strong written and verbal communication skills
- Ability to manage multiple deadlines in a compliance-driven environment
