Position Overview: Administrative Assistant supports Project Managers on-site by ensuring construction projects are completed on time and within budget. This role involves primarily office management, managing multiple construction projects simultaneously, focusing on client communication, scheduling, financial tracking, and office management.

Office Management:

· Manage office operations, including insurance policies, license renewals, and general paperwork.

· Maintain accurate records and ensure organized filing systems for all essential documents.

Client Communication & Scheduling:

· Manage and respond to client inquiries through the main office email.

· Manage and assist the General Manager's schedule, including appointments and meetings.

Financial Management:

· Follow up on accounts receivable and payable to ensure timely transactions.

· Log sales expenses and manage financial records using QuickBooks.

· Maintain and monitor employee timesheets to ensure accuracy and compliance.

Contract & Software Support:

· Assist with drafting project-related contracts, including Subcontract Agreements, AIA Owner Contracts, and Vendor Agreements.

· Support the use of management software (CoConstruct) to streamline project operations.

Knowledge, Skills, and Abilities:

· Strong understanding of construction processes and terminology.

· Excellent organizational, communication, and problem-solving skills.

· Ability to manage multiple projects under tight deadlines.

· Self-motivated, detail-oriented, and capable of working independently.

· Strong teamwork, accountability, and a positive "can-do" attitude.

Experience & Education:

· Minimum 2 years of administrative experience, preferably in a construction environment.

· Proficiency with QuickBooks and MS Office Suite with high accuracy.

· High school diploma required

Job Type: Full-time

Pay: $20.00 - $23.50 per hour

Ability to Relocate:

Alexandria, VA 22314: Relocate before starting work (Required)
