This is a permanent position within our organization. The initial contract will be offered for a period of two years, with the possibility of extension based on performance and organizational needs.

Management Assistant
Position Summary
The Management Assistant provides comprehensive administrative, secretarial and organizational support to the Ministers Plenipotentiary of Aruba and Curaçao and contributes to the efficient day-to-day operation of the office. The position focuses on coordinating administrative processes, organizing meetings, official visits, missions and events, managing correspondence and ensuring that information and documentation are accurate, complete and readily accessible.
The Management Assistant supports the planning and coordination of agendas, travel arrangements, meetings and representation activities. They prepare documents, take minutes, draft routine correspondence and monitor the progress of ongoing administrative matters, ensuring that deadlines are met and follow-up actions are completed.
The Management Assistant maintains organized records and information systems, including the Customer Relationship Management (CRM) database, and contributes to the consistent application of established administrative procedures, office processes and record-keeping standards. The role also supports the administration of representation activities, travel arrangements and other logistical processes in accordance with established financial and administrative procedures.
Working closely with colleagues within the Embassy, the Departments of Foreign Affairs of Aruba and Curaçao, the Ministry of Foreign Affairs of the Kingdom of the Netherlands and a broad network of external stakeholders, the Management Assistant contributes to the smooth preparation and execution of official visits, meetings, events and other activities. The Management Assistant acts as an important administrative point of contact for internal and external stakeholders and ensures the timely flow of information and documentation throughout the office.
The position requires excellent organizational skills, discretion, flexibility and a strong service-oriented attitude. The Management Assistant handles confidential information with care, prioritizes competing tasks effectively and maintains constructive working relationships with internal and external stakeholders.
Result Areas
The Management Assistant is responsible for:
- Providing administrative and secretarial support to the Ministers Plenipotentiary of Aruba and Curaçao.
- Managing calendars, appointments and shared mailboxes.
- Coordinating official visits, incoming and outgoing missions, meetings, seminars, workshops and representation activities.
- Organizing business travel, accommodation, visa requirements and related logistical arrangements.
- Coordinating representation events, receptions, lunches, dinners and other official functions.
- Supporting the administrative processing of travel expenses, representation expenses and related financial documentation in accordance with applicable procedures.
- Preparing agendas, meeting documents, minutes and action lists.
- Drafting routine correspondence, including letters, Note Verbal’s and other official documents.
- Managing the flow of incoming and outgoing correspondence and ensuring timely follow-up.
- Maintaining organized filing systems and the Customer Relationship Management (CRM) database.
- Monitoring deadlines, correspondence, commitments and follow-up actions.
- Coordinating administrative support for projects, meetings and events, including invitations, registrations and logistical arrangements.
- Ensuring accurate, timely and complete administrative records and documentation.
- Building and maintaining productive relationships with internal and external stakeholders in support of the work of the office.

- Experience organizing official visits, events or high-level meetings.

Education and Experience
- Secondary Vocational Education (MBO) or an equivalent qualification.
- At least 5 years of relevant experience in an administrative, executive support or management assistant role.
- Experience working in a complex administrative or international environment is an asset.
