Join the Prevention and Harm Reduction team and make a real difference in the fight against substance use and related harms! We're seeking a passionate and skilled individual to fill an Administrative Specialist position to support Prevention and Harm Reduction services. What You'll Be Doing

As the Administrative Specialist I, you will:

Perform a variety of administrative support functions (e.g., planning agendas, gathering materials, taking notes, and processing necessary paperwork) for the Prevention and harm reduction teams' meetings, meetings with partners, and support the Overdose Prevention Team.
Provide general administrative support such as answering phones, managing correspondence (email, mail), scheduling appointments and meetings, preparing meeting agendas and minutes, and maintaining office supplies.
Manage and maintain electronic and physical filing systems, ensuring accuracy and accessibility of information.
Prepare and edit documents, reports, presentations, and other materials.
Coordinate travel arrangements, including booking flights, accommodations, and transportation.
Process invoices, expense reports, and other financial documents.
Assist with onboarding new employees, including preparing paperwork and coordinating training.
Serve as a point of contact for internal and external partners, providing professional and courteous communication.
Coordinate with other departments and external vendors to ensure smooth operations.
Manage calendars and schedules for team members, resolving conflicts and prioritizing appointments.
Assist with project coordination, including tracking deadlines, preparing reports, and managing project-related communications.
Conduct research and gather information as needed for projects and reports.
Support event planning and coordination, including logistics, registration, and communication.
Maintain office equipment and ensure proper functioning.
Order and manage office supplies, ensuring adequate inventory levels.
Maintain a clean and organized office environment.
Perform other duties as assigned by supervisor.

Weekend and/or evening hours may be required.

Minimum Qualifications

Education: Graduation from an accredited college or university with a Bachelor's Degree

Experience: One (1) year of professional administrative experience related to public health, healthcare, and/or community health setting.

Substitutions:

1. EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.

2. EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Weekend and/or evening hours may be required.

Preferred Criteria, Interview Preferences

Candidates will be required to answer a series of questions. The applications of those individuals meeting the minimum qualifications will be reviewed to determine the extent, relevance of training, and experience in the following areas:

Experience maintaining and updating information on web pages, microsites, or informational materials
Experience providing administrative support to multiple people within an organization and/or work unit
Experience reviewing/reconciling data and preparing related reports
Experience writing, preparing and/or formatting operational memorandums, documents and other written correspondence.
