Job Description: Property Assistant

SUMMARY:

The Property Assistant plays a key role in supporting the day-to-day operations of a property management team. This position is responsible for handling a variety of administrative tasks, including managing a multi-line telephone system, assisting visitors, and maintaining essential office functions. The Property Assistant also provides vital support to the Assistant Property Manager and Property Manager by processing invoices, managing reports, and assisting with property-related tasks such as rent collection and billbacks. Strong organizational skills, professionalism, and the ability to handle multiple responsibilities are critical for success in this role. Experience in real estate and familiarity with software such as Yardi and MRI are preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Answer phones, greet visitors, and manage office communications.

Updates and maintains email distribution lists.

Monitors visitor access and issues parking passes when required.

Updates conference room calendar.

Receives, sorts, and routes mail.

Orders, receives, and maintains office & kitchen supplies.

Processes invoices in a timely, effective and consistent manner.

Updates electronic filing system.

Maintains work order systems (e.g., Angus) and track progress.

Assists with budget preparation

Tracks and collects Certificates of Insurance (COIs) for tenants and vendors.

Process and code invoices in compliance with approval procedures.

Organizes and maintains the electronic filing system for property-related documentation.

Assists Assistant Property Manager and/or Property Manager with monthly tasks such as:

o Running and sending rent ups

o Running monthly reports

o Coding property invoices

o Assist with creating monthly bill backs

Performs other clerical duties as needed, such as filing, photocopying, and collating.

EDUCATION AND/OR EXPERIENCE:

· Bachelor’s degree or equivalent experience in real estate or administrative roles.

· Familiarity with Yardi, MRI, and Microsoft Office Suite.

· Experience with work order systems (e.g., Angus) and invoice processing.

· Strong organizational skills, time management, and professionalism.
