Duties

Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
Operate multi-line phone systems, answer inquiries promptly, and route calls efficiently using excellent phone etiquette
Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy
Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document creation
Assist with calendar management and appointment scheduling for team members and executives
Support office management tasks such as supply inventory, equipment maintenance, and general administrative support
Provide customer service support by addressing inquiries, supporting client needs, and ensuring positive interactions

Experience

Proven office experience or clerical experience demonstrating strong organizational skills and attention to detail
Familiarity with QuickBooks or bookkeeping software is a plus for handling basic financial tasks
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Experience in medical or dental receptionist roles or as a personal assistant enhances understanding of specialized office environments
Strong computer literacy with proficiency in Microsoft Office, Google Workspace, data entry, and proofreading skills
Demonstrated ability to manage time effectively while multitasking in busy settings
Excellent customer service skills coupled with professional phone etiquette and organizational prowess
