We are seeking a dynamic and organized Full Time Office Assistant / Secretary to join our team on our Arlington campus. This vital role offers an exciting opportunity to support daily office operations, enhance administrative efficiency, and provide exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess a strong passion for maintaining a well-organized workspace. As the first point of contact, you will play a key role in ensuring smooth communication and operational flow within our office environment, contributing to a positive and productive atmosphere. 4 Year Degree from an accredited college or university required.
Responsibilities
- Greet students, families, visitors and clients professionally at the front desk, providing excellent customer service and support.
- Manage multi-line phone systems, directing calls accurately and courteously while taking detailed messages when necessary.
- Handle data entry tasks with precision using Microsoft Office, Google Workspace, and other office software to maintain accurate records.
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and confidentiality of sensitive information.
- Assist with calendar management and scheduling appointments for staff or management, coordinating meetings efficiently.
- Perform clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail.
- Support office management tasks including supply inventory, basic bookkeeping and coordinating office maintenance or repairs.
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
- Previous office experience or clerical experience demonstrating familiarity with administrative procedures.
- Exceptional customer service skills combined with professional phone etiquette and courteous communication.
- Bilingual abilities are highly desirable to assist diverse clients and team members effectively.
- Knowledge of office management practices including filing systems, data entry, and calendar coordination.
