Job Summary
Skin Lab Med Spa is seeking a dedicated and experienced Assistant Spa Manager to join our team. The ideal candidate will assist in overseeing daily operations, ensuring exceptional customer service, and maintaining a serene and inviting atmosphere for our clients. This role requires strong leadership skills, effective communication abilities, and a passion for the wellness industry. The Assistant Spa Manager will support the Spa Manager in achieving operational goals while fostering a positive work environment for staff.
Responsibilities
- Assist in managing daily spa operations, including scheduling, inventory control, and staff supervision.
- Provide exceptional customer service by addressing client inquiries and resolving issues promptly.
- Support recruitment efforts by participating in interviewing and employee orientation processes.
- Client reception: Greet patients warmly, check them in/out, and guide them through paperwork and consent forms.
- Phones & inquiries: Answer calls, respond to emails/texts, explain services/packages, and handle new client leads.
- Financial tasks: Assist with daily reports, deposits, payroll coordination, and tracking KPIs like client retention and revenue per patient.
- Utilize POS systems for transaction processing and cash handling duties.
- Marketing support: Collaborate with the spa’s marketing team or vendors for promotions, social media campaigns, and community events.
- Appointment scheduling: Manage bookings, confirmations, and waitlists using spa management software, AestheticsPro.
- Oversee payroll and bookkeeping tasks to ensure accurate financial reporting.
- Manage inventory levels, including purchasing supplies and merchandising products effectively.
- Train and develop staff to enhance their skills in customer service, sales management, and retail operations.
- Implement marketing strategies to promote spa services and increase client engagement.
- Maintain cleanliness and organization of the spa environment to ensure a welcoming atmosphere.
- Collaborate with the Spa Manager to develop budgets and monitor financial performance.
Qualifications
- Proven experience in retail management or assistant manager roles within the spa or wellness industry is preferred.
- Strong leadership skills with experience in team management and training & development.
- Excellent communication skills, both verbal and written, with an emphasis on customer service excellence.
- Proficiency in administrative tasks such as payroll processing, inventory management, and bookkeeping.
- Familiarity with retail math concepts related to pricing, sales, and budgeting is advantageous.
- Ability to multitask effectively while maintaining strong organizational skills and time management abilities.
