Ethiopian Airlines, a global leader in aviation and a symbol of African excellence, is seeking a motivated, detail-oriented Junior Administrative Assistant to support daily office operations. This entry-level role is ideal for individuals looking to build a strong foundation in administration, accounting and finance processes, SAP system usage, and corporate operations, while providing reliable support to U.S. station activities.
Key Responsibilities
As a Junior Administrative Assistant, you will:
- Provide general administrative and clerical support to ensure smooth and efficient office operations.
- Assist in preparing routine business documents, correspondence, spreadsheets, and presentations.
- Support U.S. Stations’ finance and procurement activities, including invoice collection, basic review, Purchase Order (PO) creation support, Service Entry (SES) processing assistance, and follow-up on payments under supervision.
- Maintain simple expense trackers, invoice logs, and filing records to support accounting and finance teams.
- Assist with SAP system tasks at a basic level, such as referencing documents, tracking PO and invoice status, and supporting service entry documentation.
- Organize and maintain physical and electronic filing systems for administrative, procurement, and financial documents in accordance with company policies.
- Assist in new employee onboarding, including preparing onboarding checklists, coordinating workspace setup, supporting system access requests, and organizing orientation materials.
- Support internal and external communications by responding to routine inquiries and directing matters to the appropriate team members.
- Schedule meetings, prepare agendas, take meeting notes, and manage correspondence and document records.
- Assist in coordinating travel arrangements and logistical support in line with company guidelines.
- Follow established internal controls, finance procedures, and procurement guidelines, escalating issues when required.
- Collaborate with team members across Administration, Finance, HR, and Operations to ensure timely and accurate support.
- Perform other related duties as assigned to support efficient office and station operations.
Qualifications
To be successful in this role, you should have:
- A bachelor’s degree in administration, Business Management, Accounting, Finance, or a related field, or a relevant diploma/vocational qualification with 2 years' experience
- 0–2 years of administrative or office support experience.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Basic understanding of accounting, finance, and procurement concepts; prior exposure is an advantage.
- Basic SAP system knowledge or willingness to learn, particularly related to PO, invoice, and service entry processes.
- Strong organizational skills and attention to detail.
- Good verbal and written communication skills in English.
- Ability to prioritize tasks, follow instructions, and work collaboratively in a professional environment.
- High level of integrity and ability to handle confidential information appropriately.
- Must be a US Citizen or Green Card holder.
