Description: We are seeking a reliable and detail-oriented Administrative Assistant to join our team. The primary responsibility of this role is to answer phones and serve as a witness during client document executions, ensuring the signing process is conducted with accuracy, professionalism, and care. In addition, this position will provide administrative support to the firm as needed. As part of our mission, this role helps clients feel confident and supported as they take important steps to secure their families’ futures through Relational Estate Planning®.

Prerequisites:
- At least 1 year of prior experience in a client-facing or customer service role (law firm, medical office, professional services preferred)
- Demonstrated strength in verbal communication and professional phone etiquette
- Strong written communication skills with proper grammar, punctuation, and tone
- Ability to draft clear and professional emails
- High attention to detail in written correspondence and scheduling
- Comfort handling confidential information
- Proficiency in Microsoft Office and email/calendar systems
Job Responsibilities:
- Greet clients in a friendly and sincere manner, making them feel comfortable when they visit the office.
- Answer phone during assigned time periods in a professional and courteous manner.
- Schedule or reschedule client appointments.
- Greet and seat clients for meetings.
- Proof basic documents when necessary.
- Run firm errands when requested.
- Accept client payments over the phone, in person, or by mail.
- Witness document signings to meet Virginia law standards.
- Scan executed documents and file them accordingly.
- Retrieve, sort mail, and process in a timely manner.
- Keep all client-facing areas, including restrooms, tidy.
- Tidy up conference rooms after each use.
- Monitor and stock office, cleaning, and kitchen supplies.
- Assist with special projects as requested.
Required Skills:
- Familiarity with or the ability to quickly learn Microsoft Office and related cloud-based software
- Professional, warm, and welcoming client presence
- Strong verbal communication and phone etiquette
- Excellent organizational and time management skills
