Responsibilities
- Manage complex calendars, schedule meetings, and coordinate appointments using tools like Microsoft Outlook Calendar and Google Workspace.
- Prepare and proofread correspondence, reports, and presentations with precision, ensuring clarity and professionalism.
- Organize and coordinate events, conferences, and business travel arrangements from start to finish.
- Handle incoming calls with excellent phone etiquette, directing inquiries efficiently via multi-line phone systems.
- Maintain accurate records through data entry, filing systems, and document management using tools such as DocuSign and cloud storage platforms.
- Support bookkeeping tasks including invoicing, expense tracking, and QuickBooks data entry to ensure financial accuracy.
- Assist with project coordination by tracking deadlines, preparing agendas, and following up on action items.
- Provide personal assistant support as needed, including managing confidential information discreetly and handling personal errands or requests.
- Oversee office management duties such as supply ordering, front desk reception, and maintaining a welcoming environment.
- Perform clerical tasks such as transcription, proofreading, filing, and organizing documents for easy retrieval.
Experience
- Proven experience as an executive assistant or in a similar administrative role within an office environment.
- Demonstrated expertise in office management, calendar coordination, and executive administrative support.
- Strong proficiency in Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar.
- Experience with bookkeeping software like QuickBooks and digital signature platforms such as DocuSign is highly desirable.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
- Exceptional communication skills with professional phone etiquette and customer service experience.
- Ability to handle multiple projects simultaneously while maintaining attention to detail through data entry, proofreading, transcription, and filing tasks.
- Prior experience supporting senior executives or high-level management is preferred but not required; personal assistant experience is a plus. Pay: $50,261.61 - $80,530.11 per year
