Job Summary
We are seeking a highly organized and professional Administrative Associate to support our office programs and operations. The ideal candidate will possess strong computer literacy, excellent organizational skills, and experience in office management and clerical tasks. This role involves managing front desk responsibilities, handling multi-line phone systems, and providing exceptional customer service. Bilingual abilities are a plus to effectively communicate with diverse clients and team members. The Administrative Associate will play a vital role in ensuring smooth daily operations and maintaining an efficient office environment.
Responsibilities
- Greet visitors and manage front desk duties with professionalism and courtesy
- Answer and direct calls using multi-line phone systems, demonstrating excellent phone etiquette
- Manage calendar appointments, schedule meetings, and coordinate events using Google Workspace and Microsoft Office tools
- Perform data entry, filing, and maintain accurate records to support office functions
- Assist with bookkeeping tasks using QuickBooks or similar software
- Support customer service efforts by addressing inquiries promptly and professionally
- Proofread documents for accuracy and clarity before distribution
- Handle correspondence via email, phone, and written communication efficiently
- Support office management tasks including supply inventory, document organization, and general administrative support
- Provide personal assistant support as needed, including calendar management and task prioritization
Requirements
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Familiarity with QuickBooks or similar bookkeeping software is preferred
- Excellent computer skills including data entry, document proofreading, and file management
- Strong customer service skills with professional phone etiquette
- Bilingual abilities are a plus for effective communication with diverse populations
- Experience in front desk management, medical or dental receptionist duties is advantageous
- Ability to multitask efficiently while maintaining attention to detail
- Office management experience including calendar management and administrative support roles is desirable
- Demonstrated time management skills to prioritize tasks effectively
- Clerical experience including filing, proofreading, and data entry required

Pay: $60,000.00 - $65,000.00 per year
