Job Title: Office Assistant (Part-Time)

Location: Annapolis, MD (100% On-Site)

Schedule: Monday-Thursday

Hours: 20-25 hours per week

Pay: Up to $20.00/hour

Overview

We are seeking a highly organized and detail-oriented Office Assistant to join our team. This critical support role ensures smooth office operations and contributes to delivering an exceptional customer experience. The ideal candidate is proficient in Microsoft Office, eager to learn new software, and comfortable handling multiple tasks in a fast-paced environment.

This position serves as the front line for customer service via email and phone, requiring strong written and verbal communication skills. Additionally, the Office Assistant will provide administrative support to leadership, including scheduling, communications, and expense tracking.

Key Responsibilities

Fulfill department-wide orders, including domestic and international shipping and receiving
Compile and mail certificates, membership materials, certification information, and accreditation packages
Perform weekly mail merges for bulk mailings
Manage office supplies, including ordering and stocking
Answer and direct incoming calls; respond to customer inquiries
Process payments, billing, and data updates
Attend weekly staff meetings and provide support across departments
Maintain an organized and efficient workspace
Provide administrative support for the school accreditation program, including:
- Scheduling and communications
- Organizing applications, visits, and online forums
- Invoicing and customer service

Software & Tools

Microsoft Office Suite
Association Management Software (Impexium)

Qualifications

Strong organizational and multitasking skills
Excellent written and verbal communication abilities
Proficiency in Microsoft Office; willingness to learn new systems
Customer service experience preferred
Ability to work independently and collaboratively
