Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, providing exceptional customer service, and ensuring efficient administrative processes. This position requires strong organizational skills, proficiency in various software applications, and the ability to manage multiple tasks effectively.

Duties

Manage operations, calls and handling inquiries.
Operate multi-line phone systems, ensuring professional phone etiquette while directing calls.
Provide clerical support such as data entry, filing, and proofreading documents.
Maintain organized electronic filing systems for easy access to information.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
Deliver excellent customer support by addressing client needs and resolving issues promptly.
Collaborate with team members to enhance office management processes and improve efficiency.
Maintain confidentiality of sensitive information while managing administrative tasks.
Other duties as assigned.

Requirements

Proven experience in an administrative role or similar position with a focus on office management.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Strong typing skills with attention to detail for accurate data entry and documentation.
Excellent organizational skills with the ability to prioritize tasks effectively.
Bilingual abilities are required for enhancing communication with diverse clients.
Familiarity with multi-line phone systems and strong phone etiquette skills.
Demonstrated customer service skills with a friendly demeanor and professional attitude.
Ability to manage time efficiently while handling multiple responsibilities simultaneously.
Experience in personal assistant roles or similar administrative functions is preferred.
