We are a well-established CPA firm seeking a professional, detail-oriented Administrative Assistant/Receptionist to support our accounting team and serve as the first point of contact for clients. This position plays a key role in maintaining efficient office operations while providing exceptional client service in a confidential, deadline-driven environment.
Key Responsibilities
- Greet clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls; manage voicemail and email inquiries
- Schedule client appointments and manage partner/staff calendars
- Maintain client files (paper and electronic) with strict attention to confidentiality
- Assist with tax season workflow, including assembling tax returns and client correspondence
- Scan, upload, and organize documents into firm systems
- Handle incoming and outgoing mail, deliveries, and client documents
- Perform general administrative tasks including data entry, filing, and document preparation
- Order office supplies and assist with general office operations
- Provide administrative support to partners and staff as needed
Qualifications
- Prior administrative or receptionist experience required; accounting or professional services experience strongly preferred
- High level of professionalism and discretion with confidential information
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Proficient in Microsoft Office (Outlook, Word, Excel); familiarity with document management systems a plus
- Ability to manage multiple priorities and meet deadlines, especially during tax season
- Reliable, punctual, and team-oriented

Pay: $20.00 - $26.00 per hour
