Overview
We are seeking an experienced and motivated Office Administrator / Administrative Assistant to join our team. This role is part-time to start, with room for growth as our brokerage continues to scale. The ideal candidate is organized, proactive, and able to take initiative in supporting both management and agents. You’ll play a key part in keeping daily operations running smoothly and ensuring our office reflects the professionalism and energy that defines our brand.
What you’ll do
- Provide daily administrative and clerical support to the Broker/Owner and team of agents
- Assist with onboarding new agents and maintaining office compliance systems (experience with SkySlope is a plus)
- Manage phone calls, emails, and scheduling
- Organize documents, track office supplies, and handle basic bookkeeping or data entry as needed
- Support marketing, event coordination, and internal communications
- Serve as a liaison between agents, vendors, and management to ensure timely execution of tasks
- Help implement systems and processes that improve office productivity and efficiency
- Assist with marketing initiatives including social media content, agent highlights, and community event promotion.
- Support agent attraction efforts by helping to coordinate recruiting campaigns, maintain prospect lists, and prepare marketing materials for new talent outreach.
- Manage corporate communications such as email announcements, newsletters, and internal updates to ensure consistent branding and messaging across platforms.
- Collaborate with leadership on creative strategies to boost visibility and engagement for both the brokerage and its agents.
- Provide assistance with property management operations, including tenant communication, maintenance coordination, and basic recordkeeping.
Basic/ Preferred qualifications
- Previous administrative or office management experience (real estate office experience strongly preferred)
- Strong organizational skills with excellent attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Proficient in Microsoft Office Suite, Google Workspace, and basic tech tools
- Strong written and verbal communication skills
- Positive, professional attitude with the ability to adapt and learn quickly
- Must have transportation
- Must be punctual and dependable
- Familiarity with bookkeeping practices using QuickBooks or similar software
- Personal assistant experience that demonstrates your proactive approach to supporting team members
