Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office functioning. The ideal candidate will possess strong computer skills, office management experience, and excellent communication abilities, including bilingual proficiency. Duties

Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems
Perform data entry, filing, and document proofreading to maintain accurate records
Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
Assist with calendar management and appointment scheduling for staff and clients
Provide customer support via phone and in person, demonstrating excellent phone etiquette
Handle bookkeeping tasks using QuickBooks and perform basic office management duties
Support medical or dental reception tasks as needed, including patient check-in and appointment coordination
Maintain organized office files and ensure timely follow-up on correspondence and inquiries
Support personal assistant tasks such as travel arrangements or special project coordination
Contribute to a positive office environment through effective communication and organizational skills

Qualifications

Proven experience in an office setting with clerical or administrative responsibilities
Strong computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools
Experience with QuickBooks, bookkeeping, or office management systems preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Bilingual abilities are a plus to assist diverse client needs
Exceptional customer service skills with professional phone etiquette and interpersonal communication
Ability to handle multiple tasks efficiently while maintaining attention to detail
Previous experience as a receptionist (medical or dental), personal assistant, or in customer support is advantageous
Strong typing skills and proofreading abilities to ensure accuracy in all documentation
