We are looking for a part-time administrative assistant who either knows the residential real estate industry or is eager to learn. Key word: EAGER! We are small business in a fast paced environment growing very quickly! We are looking for someone to assist our team of transaction coordinators on track to assist in managing the contract to close process for real estate transactions. We need a detail oriented person who is positive and motivated and willing to do what is asked of them to assist in moving forward many, many moving parts. A growth mindset is a must! Job Responsibilities
Contract to Close
- New File Set Up for Pending Transactions:
- Create transaction in transaction management software program (add contacts, deadlines, task lists and templates) with accuracy
- Check property statuses in the MLS and commissions
- Assist in obtaining buyer agreements and listing agreements for new contracts
- Coordinate agent and buyer's schedule to book home inspections
- Order termite inspections
- Order home warranties and send to title company
- HOA Documents - help seller with ordering (find out management company and how to order resale package and relay this info to seller)
- Assist in managing transaction deadlines of pending transactions
- Assist in managing contract paperwork (addendum, extension,contracts, etc)
- Assist in gathering information for MLS Input, Listing Agreements and Contract/Offers
- MLS Input: assist in data entry and uploading pictures
Executive Administrative Tasks
- Assist business owner in managing calendar, organizing meetings, accepting phone calls, taking messages
- Miscellaneous tasks and projects allowing business owner to focus on decision-making and higher-level responsibilities.
- Serve as a link between the owner and the rest of the staff and contribute to better organization and planning.
